News & BlogShare Debt Collection Challenges for Professional ServicesStruggling with late payments is the Universal equaliser for businesses. No matter what size, sector or service, there will always be debtors to chase and money to recover. However, the challenges each industry faces in doing that can vary, which is why a one- size – fits-all approach just doesn’t work. Today, we want to explore some of the challenges faced by businesses in the professional services sector, and give some advice on how to tackle them. Not Wanting to Damage Relationships People in the professional services often have quite close relationships with their clients. This is great for working with them, but less helpful when it comes time to chase overdue payments. It often means they will hesitate to aggressively chase overdue invoices because they don’t want to alienate high-value clients or lose repeat business.Disrupted Work and Scope Creep Unlike physical products that can be returned and inspected if something is wrong, services aren’t a physical thing. They’re knowledge – based, which means it’s much more complicated when clients dispute the quality or scope of advice given after the fact. This is a very common delay tactic, often used to avoid paying altogether if the client can manage it.Vague or Incomplete Retainers If you start work without a clearly defined engagement letter, explicit payment milestones and a pre-agreed late payment policy, it’s much easier for clients to obfuscate and delay payments. Some professionals avoid putting such things in place to make things ‘simpler’, and sadly they are the ones who end up with mounting overdue invoices.A High Reliance on Time & Billing Cycles A lot of professional services use the time-based billing cycle model, and it can work wonderfully. The only problem is that if you have long billing cycles (for example, waiting until a project phase ends or a case closes, debts can age significantly before anyone even notices it’s overdue.Lack of Internal Collection Protocols A lot of businesses don’t have any formal, written credit control policies in place. This isn’t just limited to professional services either – a staggering number of companies in all industries struggle with this. Rather than being seen as the core administrative function that it is, billing is seen as more of an afterthought, which means chasing overdue payments is too.How Can You Overcome These Challenges To be clear, all of these are fairly common challenges, and ones we see over and over again in the professional services space. But that doesn’t mean they have to happen. With a little planning, they are easy to solve. Start with things like:Have upfront agreements: Before you start any work. lay the groundwork for on-time payments, and set out what will happen if it doesn’t happen. This can look like getting signed engagement letters, setting out clear payment terms, and ensuring a deposit is paid before you start doing any work.Implement Milestone Billing: If you’re taking on a particularly large project, break it down into smaller, regular intervals or retainer draws, instead of letting a massive balance accumulate at the end.Make Communication Proactive and Automated: Bad communication is behind a startling number of late payments. Make sure you send polite, automated reminders before and immediately after a payment deadline passes so that prompt payment habits become normalised. If you can. automate this process.Have a Formal Escalation Ladder: Don’t have a policy of ‘just chase it every now and then’. Establish a clear threshold (like 30-60 days past due) where internal reminders stop, and a formal Letter Before Action is issued. Each step should progress on from the last at a pre-decided threshold.Professional services have a very unique set of challenges when it comes to late payments-and debt recovery, mostly revolving around the fact that you’re selling time and knowledge, not products.
